Before

Inquiries arrived in Messenger and Viber and stayed there. Pricing was worked out on a calculator and sent back as a message, so the only record of what was quoted was the thread it was quoted in.

Deposits went into a notebook. Whether a job had been chased, and when, lived in whoever had sent the last message.

After

An inquiry is a record. It becomes a quotation with line items, delivery, and VAT, and the quotation becomes an order with a deposit logged against it.

The dashboard opens on the most urgent thing: what is confirmed, what has been collected, what is still owed, and which quotations have gone quiet.

What a job passes through

  1. Inquiry

    A message from Messenger or Viber becomes a record with a customer, a quantity, and a note.

  2. Quotation

    Line items, delivery charge, and VAT are priced and the quotation is sent.

  3. Order

    An accepted quotation becomes an order, with the deposit logged against it.

  4. Production

    The job joins the floor queue, priority first, with a promised date attached.

  5. Payment

    The balance is tracked to delivery, and what is still owed stays on the dashboard.

  1. Signing in

    Staff sign in with their own account. The owner sets and resets those from the Team screen.

  2. The dashboard

    The most urgent thing sits at the top: what is confirmed, what is collected, and what is still owed.

  3. Inquiries

    Everything that came in through Messenger or Viber, in one list, with what was asked for.

  4. Raising a quotation

    A customer, what they asked for, quantity, and where it came from. Nothing retyped.

  5. Pricing

    Line items, delivery, and VAT calculated to a total that matches what the client is sent.

  6. Follow-ups

    Quotations that have gone quiet surface on day three, then every four days after that.

  7. Production

    The floor queue, priority first, with what to print and how long is left.

  8. On a phone

    The same system, installed on a phone, for the people who are not at a desk.

What was handed over

Source code, hosting, database, and accounts, in the client’s name. Ten user accounts with permissions set per employee and the owner holding every feature. Documentation, and training for the people who use it daily. The same system installs on a phone from the browser, so the floor is not tied to a desk.
